MONTHLY BOARD MEETING MINUTES

November 10, 2010

 

CALLED TO ORDER BY PRESIDENT ED BANGSUND at 7:10 p.m.

 

ATTENDANCE:  Ed Bangsund, Jan Lewis, Dale Mjelde, Jim Schack, Frank Wisdom, and Cheryl Havener

Absent:  Bill McLaughlin, Bob Steiner          Guest:  Jack Ottini

 

PREVIOUS MEETING MINUTES:  Approved as written

 

TREASURER’S REPORT:  Jim Schack

  • A copy of the Current Profit and Loss Budget vs. Actual through November 10th, the Reconciliation Detail thru October 31st, and the A/R Aging Summary thru November 8th were distributed for review.  Discussion was held, copy attached in file.
  • Discussion was held concerning the proposed 2011 budget.  M/S/P approving the proposed budget to be presented to the membership at the Annual Meeting, December 14th.
  • We currently have four liens; we believe the seller is obligated for six months.
  • Discussion was held concerning the IRS audit.  M/S/P to proceed with the Fast Track Arbitration to try to remain tax exempt.  This is not a binding arbitration – there is no risk for us.  We are clear on five of the major points to remain exempt.

 

COMMITTEE REPORTS:

FACILITIES:  Bill McLaughlin – abs.

 

COMMON GROUNDS:  Ed Bangsund

  • The common grounds at the gates and medians have been weeded, swept, and leaves blown.
  • The leaves and debris near the storm drains have picked up.
  • The dead arbivitae on 144th will be replaced this week; no Leland Cypress will be purchased.
  • The overhanging photinia on 144th has been pruned.
  • The speed limit painting on the roads is planned for the next weather break.
  • The street sweeping will be done as soon as more of the leaves fall.

 

SECURITY:  Dale Mjelde

  • At this time, it is expected that the Security Contract will remain the same as last year.
  • In the newsletter there will be reminders about coyotes and the need to obey the speed limits and stop signs.  Also a reminder about pets being required to be on a leash and the need to put pet’s deposits in a plastic bag.           
  • The windows in the Guardhouse need to be cleaned.

ARCHITECTURAL:  Frank Wisdom/Jan Lewis

  • Eight approval letters and nine yard maintenance letters have been sent so far this month.
  • Our lawyer, Phil Mattern, has been contacted concerning the roof, dog run removal, rotten deck, rotten siding, and dead tree removal issues for lot #298.  A letter will be sent soon, the Board will receive a copy.
  • Mike Rucker prepared a spread sheet of this past year’s letters as a quick oversight of projects requested/approved and “fix-it” letters.  This should help maintain control over projects.
  • Janet Lewis and Terry Lavery are working to coordinate an appointment with the owner of lot #164 regarding landscaping and tree cutting.  Lot #163 residents would like the trees trimmed for a better view of Mt. Rainier.

 

PRESIDENT’S REPORT:  Ed Bangsund

  • Craig Benson sandbagged near lot #39 on hole #12, more will be used.  70% of the planning by city of Kent for the creek rechanneling is completed and the city is expected to have permits and present the plan to MVCC and MVMA by the end of the month.
  • Getting more information and pictures concerning the surface water drainage problem near lots #268 and #267.
  • The residents running for the two Board positions are: Barb Farley, Richard Metz, Mike Rucker, and Bruce Yahr.
  • Deer have been entering through a gate which is now locked.
  • Bill McLaughlin will address the snow policy at the annual meeting.  Streets will be plowed but not driveways.  Bill will also be notified that the lights that shine on the American flag need to be replaced at the Guardhouse.
  • The Bridjit System, a driveway ramp, is allowed but each homeowner must make the request prior to installation.
  • Kim, site supervisor, is working with Nick on the Lear gate opening system; it is not approved at this time.
  • The December Newsletter will be ready for mailing by December 1st. 
  • The new MVCC representative will be appointed at the Friday meeting.
  • The next Board meeting will be December 8th.  The Annual meeting will be December 14th.
