MONTHLY BOARD MEETING MINUTES

May 12, 2010

 

CALLED TO ORDER BY PRESIDENT ED BANGSUND at 7:00 p.m.

 

ATTENDANCE:  Ed Bangsund, Jan Lewis, Bill McLaughlin, Dale Mjelde, Jim Schack, and Cheryl Havener

Absent:  Frank Wisdom, Bob Steiner, and Ryan Thrower

 

PREVIOUS MEETING MINUTES:  Approved as written

 

TREASURER’S REPORT:  Jim Schack

  • Current Profit and Loss Budget vs. Actual through April 2010 and Balance sheets were distributed for review.  Discussion was held, copy attached in file.  Edward Jones account statement through April was distributed and reviewed, copy attached in file.
  • Five homeowners have not paid this year’s dues.  Liens have been placed on four homes.  If the fifth homeowner has not made payment by the end of May, the remotes will be deactivated and a lien placed on the property. 
  • Insurance for the security truck has been paid.  Payment has also been paid for filing the tax return. 
  • We have had no response from the IRS.

 

COMMITTEE REPORTS:

 

COMMON GROUNDS:  Ed Bangsund

  • An update letter was sent to the surrounding neighbors of the creek restoration project (near the 12th hole).  The project is currently ahead of schedule.
  • The shrubs on 144th Avenue SE are now planted.
  • Lot 123 homeowner complained about the weeds on Lot 122.  Javier quickly responded by spreading weed and feed over the vacant property twice.
  • This month the front entry will have new shrubs planted.
  • The need to plant shrubs in the open gap across from Lot 1018 is still an open issue.  This month flowers will be planted at the guardhouse.
  • The photinia and tree damage along the 132nd Ave S.E. fence is primarily cleaned up.

 

SECURITY:  Dale Mjelde

  • Security truck was stuck in maintenance shed drain, no damage.
  • From now on rather than call the Security Chairman, Security Dispatch will handle problems that occur during the middle of the night by calling Site Supervisor, Kim Sharrah.
  • The incident report concerning police entry was reviewed, copy in file.

 

FACILITIES:  Bill McLaughlin

  • The SW boundary line – fence move has been completed (Lots 258, 259, 260, and       part of 261).
  • The arms from the top of the removed fence have been saved – approximately 35 square posts are stored behind Craig Benson’s shed.
  • Lot 261 wants the MVMA to pay to remove the old fence post, discussion was held.  It was deemed not the association’s responsibility.
  • Lot 266 wants the easement abandoned and fence moved – discussion was held and the request was tabled – Jim Schack will contact homeowner.
  • An update on Jim Garner was given – his attorney will meet with the Board.
  • The guardhouse electrical improvements have been made.  All of the perimeter lights are now the same.  The light switches and lights inside have also been fixed.
  • Have received Guardian Gate Control’s quarterly report, copy in file.
  • Street light near Lot 249 is out, PSE was called to repair.
  • We have received a bid from Holmes Electric to replace the circuit breaker panels at the north and south gates.  Discussion was held.  M/S/P to defer the purchase of security guard radios until next year and accept the Holmes bid to upgrade both gate panels, copy of bid in file.

 

ARCHITECTURAL:  Jan Lewis

  • A letter was sent to homeowner on Lot 255 concerning yard maintenance.  The owner was given until May 24, 2010 to bring the property under compliance.  Discussion was held, M/S/P that if needed the Architectural Committee has the authority to hire someone to mow, edge, etc. and bring the property to the standards of this community and bill the homeowner.
  • The committee is working on issues with shrubbery growing into the street, commercial trucks remaining on site, and a structure between Lots 135 and 134.

 

PRESIDENT’S REPORT:  Ed Bangsund

  • Denied Kittencreek (Amanda) request on estate sale for Lot 141.
  • Developed gate entry procedure which should be implemented soon.
  • Notified Terry Wilson on Garner fence clean up.
  • Main entry gate problem, May 10, 2010.
  • Lot 94 called concerning weeds on Lot 95, Jan Lewis will handle.
  • The Meridian Elementary Fun Run is set for June 5th from 8:30 a.m. to 10:00 a.m.  M/S/P giving Meridian Elementary permission to hold the Fun Run.
