MONTHLY BOARD MEETING MINUTES

December 8, 2010

 

CALLED TO ORDER BY PRESIDENT ED BANGSUND at 7:05 p.m.

 

ATTENDANCE:  Ed Bangsund, Jan Lewis, Dale Mjelde, Jim Schack, Bill McLaughlin, and Cheryl Havener                              

Absent:  Brian Applebury, Frank Wisdom and Bob Steiner               

 

PREVIOUS MEETING MINUTES:  Approved as written

 

TREASURER’S REPORT:  Jim Schack

  • A copy of the Profit and Loss Budget vs. Actual through November and the A/R Aging Summary thru December 8th were distributed for review.  Discussion was held, copies attached in file.
  • $6,000 has been moved into the LRP – funding is above target.
  • The IRS issue was discussed.  M/S/P for the hiring of Filmore Rose, Esq. (resume in file) to represent the MVMA in a fast track arbitration, with the cost between $8,000 - $10,000.  Jim Schack will be off the Board in December, but has agreed to follow thru with this issue.  A brief written document of our position to the IRS must be given by December 31, 2010.

 

COMMITTEE REPORTS:

FACILITIES:  Bill McLaughlin

  • The street light near the south gate is now working.
  • The Garner fence offer to move the fence will be on hold until after the first of the year.
  • Will check with Kim concerning the light for the flag pole.

 

COMMON GROUNDS:  Ed Bangsund

  • Craig Benson’s crew sanded the hills and outside the entrance during the snowstorm.
  • The streets were swept by Western States Street Sweeper November 16th and 17th.
  • Myard picked up two loads of branches and blew out debris from the 144th fence line to be picked up by street sweeper.  Myard will continue leaf pick up and replant the emerald arbivitae before the end of the month.
  • The 25 MPH speed limit decals were painted at all entrances.
  • The Sikh Temple was informed of the dead tree across our fence.

 

SECURITY:  Dale Mjelde

  • One accident was reported concerning a drunk driver hitting a tree.  The police were called.
  • The gates were left open several days due to snow and ice.
  • M/S/P to recognize the guards for their hard work during 2010.

 

ARCHITECTURAL:  Frank Wisdom/Jan Lewis

  • There has been little activity this past month. 
  • Mr. Mattern, Esq. was told to send the letter concerning Lot #298.

WEBSITE:  Bob Steiner – abs. written report given

·         Posted the November Meeting minutes and December Newsletter to the website.

·         Send an e-mail which included an attached pdf file of the December Newsletter to the MVCC residents who had responded that they prefer/would be willing to receive the Newsletter electronically, either via a pdf file or off the MVMA website.

·         Met with Kim and the computer repair service representative that had been called to fix the system crash.  He spent about 2 hours on the system to remove any viruses, and other malware and all seemed ok when he left yesterday afternoon.  I got a call from Kim this morning saying that the system had gone down again.  She called the representative and he is working with her via the phone to see if the problem can be fixed.  I talked to the gatehouse about 3:45 and the system is up and running.  I will talk to Kim tomorrow. The malware protection we have is “freeware” and therefore does not automatically update with the latest protection.  I recommend that we convert to an annual fee protection (about $30) and will include updates automatically.  Discussion held, M/S/P to convert to an annual fee protection which includes automatic updates.

·         Still working on backup system for gate house computer.  Supposed to be a proposal and cost estimate for a backup system which I have not seen.  The computer repair person recommended for what we have that we simply purchased an external hard drive with a USB connection to our computer and back up manually once a week or so.  This should cost less than $100.  I will check out this option with another computer service source.  The other possibility is an online system such as Carbonite which automatically stores the data off site and if the system goes down the data is restored from the off site location.  The cost for Carbonite is about $55.00 annually.  Discussion was held, it was agreed that Carbonite seems to be the best option.  Ed Bangsund will handle the problem with Bob Steiner.

 

PRESIDENT’S REPORT:  Ed Bangsund

  • Brian Applebury will be the new MVCC representative to the MVMA Board.
  • The December newsletter was mailed.
  • During the snow storm, Kim stayed with the owner of Lot #230.  M/S/P to give the owner a gift certificate for dinner at the MVCC in the amount of $50.00 as a thank you.
  • The ballots will be counted on Monday beginning at 11:00 a.m.
  • Discussion was held concerning the Garner property.  He has built a RV shed next to the property line by Lot 264.   Jack Ottini is working with the City of Kent concerning the drainage from the Garner property into Lot #268.

 

OLD BUSINESS:

  • The use of the Lear gate opening system is still being researched by Kim Sharrah and Bill McLaughlin.
